Payment of Accounts and Appointment Scheduling Information

Woman holding piggy bankOur standard policy is that payment of your account is due and payable in full on the day of your treatment.  For patients with insurance, the HICAPS co-payment is requested at this time.

To confirm the time allocated for more lengthy procedures, deposits will be taken at the time of appointment allocation.

Payment can be made with:

  • Visa
  • Mastercard
  • Amex (no merchant fee)
  • EFTPOS
  • Cash
  • Cheque

Ongoing Treatment

We will provide you with a treatment plan outlining the appointments required and estimating the cost along with any insurance benefits for dental care that you may need.

When ongoing treatment requires a series of appointments, so as we can optimise the treatment timing to suit both your and our schedules, we will set all these appointments at the time the treatment plan is agreed upon. We ask that you adhere to the sequence to the best of your ability, avoiding rescheduling, as these appointments are often sequenced to optimise treatment outcomes and may also involve other specialists and technicians.

We are happy to discuss any queries you may have regarding your account. If you need to make financial arrangements for your portion, please feel free to do so with our Office Manager, in advance of dental treatment. We will be happy to discuss payment plan options and customize a payment plan for you.

Accounts not paid in a timely manner maybe subject to a late fee. If the terms of any payment agreement are broken, the account will immediately be turned over to a third party collection agency. Hugh Fleming Dentistry utilizes the services of The Credit Reference Association of Australia Limited (CRAA) and accounts in default will be referred to the CRAA.

Appointment Re-Confirmation

We will endeavour to provide a courtesy re-confirmation call, SMS or email 48 hours prior to your scheduled appointment.

We respect your time and make a sincere effort to see all our patients on time. Please understand any changes in our schedule affects other patients waiting to complete their dental care, so we ask that you respect our time and call us 48 hours in advance if you must reschedule your appointment.

We understand that emergencies do happen however and will reschedule your appointment within the 48 hours period without a broken appointment fee or forfeiture of the deposit paid. Failure to give 48 hours’ notice for further broken appointments will unfortunately incur a $50.00 broken appointment fee or forfeiture of the deposit paid.
